Woodland Group is recruiting an Air Import Coordinator for our team in Hayes, Middlesex. The Air Import Co-ordinator will work closely with the Import team and HMRC, prepping and clearing shipments through customs, working closely with other operation sections and departments. Reporting to the Air Freight Manager the Air Import Coordinator will supply a high level of service to both internal colleagues, suppliers, and clients alike when completing Import Customs formalities.

Shift: 4 on 4 off 7am - 7pm.

What you will be doing:

• Complete day to day customs clearance of arrivals, including pre-lodgements and T1’s.

• Monitoring ETAs of incoming shipments and keeping the import team and customers updated of any delays or changes in the schedule.

• Booking in shipments from pre-alerts, working with the customer service team to ensure all information is provided by the customer prior to arrival of goods in the UK.

• Housekeeping on internal systems.

• Identify any potential problem areas before they have an adverse effect on operations.

• Develop constructive relationships with operational staff and clients where appropriate.

• Deal with all queries and claims quickly and efficiently.

• Create ETSF records and maintain the ETSF paperwork.

• Monitor and work from a shared email inbox.

• Keep Import team and customers fully informed of any holds, exams or other areas which may cause delay to a shipment.

• General administrative duties.

• Ensure customer service and customers are fully informed of the progress of their shipments.

• Provide transport team with the relevant information and documentation to ensure pickups and customer delivery requirements are met.

• Ensure correct documentation is on file and act accordingly as set out in the instructions.

• Any other duties as required by management for the smooth and efficient operation of the department.

• Work with the import team to continually improve processes and business performance.

• Support changes in the role necessary to take the department and business forward; and

• Work to achieve personal objectives set at appraisal and/or those set monthly or quarterly.

• Achieving agreed individual objectives; and

• Understanding and adhering to all Woodland policies and procedures relevant to the role.
